It is also a great way for their fans to connect with each other and build friendships with people who have common interests. However, putting together a cup-sleeve event without good planning can be really stressful and overwhelming. Luckily, Wonderful has assisted a number of clients organize successful cup-sleeve events and other similar events, so we would like to share what we have learnt to help you organize stress-free successful cup sleeve event.
We all know that organizing one event will not only cost energy but money as well. Therefore, putting up the right budget for your event in advance will help you have a clearer picture what you would need to run your cup sleeve event. The budget should factor in costs for renting the venue (café/restaurant/shared space/etc.), costs for printing cup sleeves and shipping them, costs for food and drinks (you can have the attendees pay for it), etc. Wonderful can help with researching on the different costs associated with running the cup sleeve.
2. Type of Cup Sleeve Event
You would need to have a clear idea on what type of cup sleeve event you would like to host. Typically you can host a free cup sleeve event where anyone can participate and get cup sleeves on a first-come first-serve basis. This might lead to your cup sleeves running out if the attendees are more than the stock, so you might need to get an idea on your expected attendance. You can also promote your K-pop merch to make up for the costs for hosting the event. However, most cup sleeve events require a pre-registration, where you can have your members register online via a google form to attend. 3. Location and Venue
The location of the event probably plays the most important role in determining the success of the event. Some great places we can suggest to host the event would be a coffee shop, a bakery, your favorite bubble tea shop, etc. Some places are known for hosting such events, so they might be open to hosting a new event, such as Cafe Modnee in Songpa-gu. It is a good idea to research on places that have hosted similar events in the past as many coffee shops would not agree to hosting the event.
It is also a good idea to check if you can rent out the whole space, or if you would have to just rent out particular tables. An ideal situation is if you rent out a whole space then you would not have to worry about seating. If you only book the tables, there is a chance that the café could become full from regular clients which might make the experience less enjoyable. It is a good idea to try the menu at the venue to ensure it would taste great for your guests.
4. Detailed Plan of the Event
Having a detailed plan of your event can save you a lot of trouble. It is always good to draw a plan of how you expect the event to go and think through it from beginning to the end to see if there are any issues you might not have thought about. This might also be a good time to plan on how you will promote your K-pop merchandise that you might want to sell to your guests.
5. Venue Decorations and Cup Sleeve Design
This part typically takes the longest time, and can be hard. It is highly advisable to use a professional designer to help with the designs. Your guests would not want to get cup sleeves or merchandise/photocards that are badly printed or damaged. They need to look professional, so spending a bit of money on this is not a bad idea.
In addition to the cup sleeve design, it is also a good idea to spend some time thinking about how to design the venue and what kind of decorations you might need to put up. Wonderful can help secure balloons, confetti or any kind of party decorations needed, even with customized prints for your event. We can purchase from local suppliers and ensure that they are delivered to the venue in time for the event. We can also help look for a local designer with experience in designing the cup sleeves, though you would still have to give the basic concept. Unique designs go a long way to making the event a success.
6. Find Suppliers
After giving thought to your concept & planning the details of your event, you now need to check with suppliers to see if your concept is feasible and affordable. Wonderful would be happy to help contact previous local printers and party supply vendors that have been reliable in the past and help get quotes from them. We can also help with making the purchase, as well as coordinating with the delivery services as needed. The experience of the event is greatly enhanced if the merchandise you get looks professional and authentic, and we can help get that done.
7. Promotion of your event
Once everything is set, you need to start promoting the event. Though it is always a good idea to start reaching out through your K-pop fan club or online fan group, if they would be interested in attending the event. At this stage you can start promoting the event over social media, Facebook K-pop idol groups etc. At the end of the day the success of the event is determined by how many people attended and whether they enjoyed it, so do not underestimate the effort needed to promote the event.
